Google Sheets Integration

Google Sheets Integration sends booking details to a spreadsheet when a booking is completed, canceled, or rescheduled on a Calendar.

Google Sheets Integration is available to all TimeRex users.

Setup Required to Send Booking Results to Google Sheets

To send booking results to Google Sheets when a booking is completed, canceled, or rescheduled, complete both of the following:

  • Account setup: Connect each TimeRex account to the corresponding Google account used for Google Sheets.

  • Calendar setup: In Service integration, add Google Sheets to each Calendar whose booking results you want to send to a spreadsheet.

What You Need

Ways to Use Google Sheets Integration

  • View completed, canceled, and rescheduled bookings from each Calendar in one place.

  • Sort or filter the linked spreadsheet to review details, for example:

    • Sort by booking date and time to view upcoming bookings.

    • For a Calendar that requires one available participant, filter by the assigned participant to view their bookings.

    • Filter by the guest’s name to review their answers to questions.

  • Process the linked spreadsheet to aggregate and analyze data, for example:

    • Count the number of bookings handled by each participant.

    • Analyze the number of bookings.

Connect Google Sheets to TimeRex

  1. Sign in to TimeRex with the Google or Microsoft account you normally use.

  2. Select your name in the upper-right corner, then select Account Settings.

  3. From Integrations, select Google Sheets to open the Google Sheets integration page.

  4. Select Connect.

  5. Select or sign in to the Google account you want to connect.

  6. Allow TimeRex to access Google Sheets.

You must connect Google Sheets separately for each TimeRex account.

Use Google Sheets Integration on a Calendar

  1. After connecting Google Sheets in Account Settings, open the create or edit page for the Calendar.

  2. In Advanced settings, open the Service integration section and select Add service integration.

  3. Select Google Sheets.

  4. Select Connect with Google Sheets. A spreadsheet is created automatically.

  5. Under Select members to connect Google Sheets, select the member whose My Drive will store the spreadsheet.

  6. Under Google Sheets language, select Japanese or English.

  7. Select Go to spreadsheet to open the automatically created spreadsheet. The name of the member selected under Select members to connect Google Sheets is also displayed in TimeRex.

When a booking is completed, canceled, or rescheduled on the Calendar, the details are sent to the automatically created spreadsheet.

If the member who configured Google Sheets Integration on the Calendar is removed from the team, the integration setting is removed. Data that has already been sent remains in the spreadsheet.

Before removing the member, configure the integration again using another member.

Important Notes

Do not edit the spreadsheet automatically created by TimeRex.

Editing the Events sheet may cause unintended data updates or integration errors. Pay particular attention to the following two points.

Important Note 1: Do Not Move, Add, or Delete Columns

Do not move, add, or delete columns in the linked spreadsheet.

Do not insert a column in the middle of the data. This may cause an unintended column to be updated.

Important Note 2: Do Not Rename the Worksheet

Do not rename the automatically created Events sheet.

If the sheet name is changed, an error occurs and data is no longer sent.

If you have already renamed the Events sheet, change its name back to Events. Data will be sent correctly again from the next completed booking.

Bookings and cancellations can still be completed even if an integration error occurs.

About the Automatically Created Spreadsheet

  • When you select Connect with Google Sheets, a spreadsheet is created using the Calendar name entered at that time as the file name.

  • If the Calendar name is blank, an untitled spreadsheet is created.

  • The automatically created spreadsheet contains an Events sheet and a Document sheet.

  • The Events sheet is initially blank. The header row and the first data row are added when the first booking is sent.

  • The Document sheet contains a link to this help article.

  • Changing the Calendar name after the spreadsheet is created does not change the spreadsheet file name.

  • You can rename the spreadsheet file without affecting the integration. Use a name that makes it clear which Calendar is linked to the spreadsheet.

  • If you cannot identify the spreadsheet linked to a Calendar, select Go to spreadsheet.

  • The spreadsheet is stored in the My Drive of the member selected under Select members to connect Google Sheets.

  • If you manually delete the linked spreadsheet, TimeRex cannot detect the deletion. You can confirm that the file has been deleted when you select Go to spreadsheet.

  • You can remove the integration from the Calendar by selecting the trash can icon to the right of Go to spreadsheet. The spreadsheet that was already created is not deleted.

  • Moving the automatically created spreadsheet to another folder does not stop the integration. Move it to a shared folder if needed.

About the Automatically Created “TimeRex” Folder

  • The TimeRex folder is created in the My Drive of the Google account belonging to the member selected under Select members to connect Google Sheets.

  • If a TimeRex-created TimeRex folder does not exist when you select Connect with Google Sheets, a new folder is created automatically.

  • If you manually created a folder named TimeRex in My Drive, a separate TimeRex folder is created automatically.

  • Renaming the automatically created TimeRex folder does not stop the integration. However, a new TimeRex folder is added to My Drive the next time a spreadsheet is created automatically.

  • Moving the automatically created TimeRex folder does not stop the integration. However, a new TimeRex folder is added to My Drive the next time a spreadsheet is created automatically.

Data Sent to Google Sheets

Data is generally sent to the spreadsheet immediately.

When a booking is canceled, including a cancellation during rescheduling, no new row is added. Instead, the Status and other values in the canceled booking’s row are updated.

When a guest reschedules a booking, the Status and other values for the original booking are updated, and a new row is added for the new booking.

The spreadsheet contains the following:

  • Event ID: The unique booking ID issued for each booking.

  • Schedule: Date, time, and time zone.

  • Web Meeting URL: Blank when Off is selected in Online Meeting Settings.

  • Status: Confirmed, Canceled, or Rescheduled.

    • A newly created booking is displayed as Confirmed.

    • A canceled booking is displayed as Canceled.

    • For a rescheduled booking, the original booking is displayed as Rescheduled and the new booking is displayed as Confirmed.

  • Cancellation reason

  • Person who canceled the booking

  • Participants: Names of the participating host members.

  • Created at: Date and time when the booking was confirmed.

  • Company: Guest’s company.

  • Name: Guest’s name.

  • Email: Guest’s email address.

  • Comment: Guest’s comment.

  • Type: New or Rescheduled.

  • old_event_id: Event ID before rescheduling. Included only when Type is Rescheduled.

  • new_event_id: Event ID after rescheduling. Included only when Status is Rescheduled.

  • Private calendar name

  • Other information collected from the guest: Answers to items configured in Guest Question Settings.

    • Guest Question Settings is available only on the Premium plan.

    • If you add a question, send data to the spreadsheet at least once, and then change the question title, a new column using the new question title is added the next time data is sent.

    • For default questions, spreadsheet column names remain fixed to the default question titles. Changes to the question titles are not reflected.

  • Download URLs for files uploaded through file upload items added in Guest Question Settings.

Note: Questions and guest answers used in Routing are not sent to Google Sheets.

Disconnect Google Sheets from TimeRex

Important:

  • Disconnecting Google Sheets does not delete spreadsheets that were automatically created in each member’s My Drive.

  • Before disconnecting, remove Google Sheets Integration from each Calendar by selecting the trash can icon.

To disconnect Google Sheets, open the Google Sheets integration page from Account Settings and select Disconnect.
