Create a Routing

Creating a Routing allows you to display different schedule adjustment calendars based on guests' answers to question items, or to show messages without requiring schedule adjustments.

The routing is available with the Premium Plan.

How to open the Routing creation screen

  1. If you want to create routings in a folder, select the folder first

    • We do not support moving Routings to a different folder after creation

  2. Click the "+ Create Routing" button in the "Routing" tab on the "Calendars" tab

  3. The routing creation screen will open

Basic Settings

Set the following three items. The "Routing Name" input is required.

  • Routing Name

  • Private Routing Name

  • Message at the start of routing

Routing Question Settings

Set questions that determine the actions guests will take and questions for which you want answers even if scheduling adjustments aren't confirmed.

In the later "Logic Settings," you define which schedule adjustment calendar to display or whether to show a message without schedule adjustment, based on the question and answer.

Default question items:

  • The default question items in "Routing Question Settings" are the same as those in the schedule adjustment calendar’s "Guest Question Settings": 4 fields-"Company name (optional)," "Name (required)," "Email address (required)," "Comment (optional)."

  • Similar to "Guest Question Settings," we do not support changing the "Name" item or "Email address" item from required answers.

Addition of question items:

  • The available question answer formats are: "Text," "Text (multi-line)," "Checkbox (multiple answers)," "Radio button," and "Select menu."

  • The supported answer formats are basically the same as "Guest Question Settings," but do not support "File upload," "Number," or "Date."

Hand off of the answer:

  • Questions that appear in both "Routing Question Settings" and "Guest Question Settings" will have their answers handed off, so guests won’t have to answer the same question twice.

  • If the "Question title" and the content options (only if options exist) match exactly, the question item is determined to be a duplicate.

  • Even if the optional/required or "Supplementary Information" differ, the responses will be handed off.

Notification & Publication Settings

Set the following two items.

  • Routing Acceptance Status (On/Off)

  • Notification Email Address

Answer completion notification emails for guests are sent automatically without any special settings.

Answer completion notification emails for hosts are not sent by default, so if you wish to receive them, please set up the "Notification Email Address."

Click the "Proceed to Logic Settings" button.

Logic Settings

Use the question items to set conditions.

"Action when none of the logic applies" must be set.

Addition of Logic:

You can add new logic using the "+ Add Logic" button.

  • You can set multiple conditions within a single logic.

    • If multiple conditions are set within a single logic, the condition is satisfied if all conditions are met.

  • Within a single logic, it is also possible to set the same question for multiple conditions.

  • No checks for conditional contradictions are performed within the logic.

Determination conditions:

Select the question item from the dropdown menu and set the determination conditions as follows.

■ When the question format is "Text" or "Text (multi-line)"

  • Available condition types:

    • Equals

    • Not equals

    • Contains

    • Not contains

  • How to set values:

    • Text input * Case-sensitive

■ When the question format is "Checkbox (multiple answers)," "Radio button," or "Select menu"

  • Available condition types:

    • Equals any of the following

    • Not equals any of the following

  • How to set values:

    • Select from the options within the relevant question item

    • If multiple options are selected, the condition is met if any one matches

Action when conditions are met:

Select either "Show calendar" or "Show message" as the action.

■ When you select "Show calendar"

  • Search for and select the schedule adjustment calendar using either the calendar name or the private calendar name

  • When creating a routing within a folder, only the schedule adjustment calendar within that folder can be selected

■ When you select "Show message"

  • Set the "Message Memo" and "Message to Display"

  • "Message Memo" is not visible to guests

When multiple logics are set, conditions are executed in order from top to bottom.

For one or more logics, you must select "Show calendar" as the action.

Finally, click the "Create Routing" button to complete the creation.

Copy the URL and send it to the guest.
