During the free trial, you can try Premium Plan features.
This guide introduces the settings to review before using TimeRex in your work and the features worth trying during the trial.
1. ⚙️ Review the basic settings
First, review the basic settings required to schedule with TimeRex.
📅 Check your calendar connection
TimeRex displays available times based on events in your connected calendar.
Connecting your calendar prevents guests from booking times when you already have an event.
To check your calendar connection:
Click your account name in the top-right corner.
Click Account Settings.
Click Calendar.
Review Calendar settings.
For detailed instructions, see Calendar settings.
💻 Check your web meeting tool connections
If you hold meetings online, review your connections to web meeting tools such as Zoom, Google Meet, and Microsoft Teams.
When a web meeting tool is connected and enabled for a calendar, TimeRex automatically issues a web meeting URL when a booking is completed.
To configure a web meeting tool connection:
Click your account name in the top-right corner.
Click Account Settings.
Click Integrations.
Configure the service under Web Meeting Tools.
For detailed instructions, see Web meeting tool integrations.
2. 📝 Create and test a calendar
After reviewing the basic settings, create a calendar and test the booking flow.
🔗 Create a calendar
On the dashboard, click Create calendar, then configure settings such as the booking duration, days and times when bookings are accepted, and web meeting integration.
After creating the calendar, click Copy URL and paste the URL into an email or chat message to send it to your guest.
For detailed instructions, see Create a new calendar.
✅ Make a test booking
After creating the calendar, make a test booking to confirm how it works.
We recommend opening the calendar URL in an incognito or private browsing window.
If you open the URL while logged in to TimeRex, it opens in preview mode and may show your own events. An incognito or private window shows the page as a guest will see it.
Your events shown while you are logged in are not visible to guests.
Check the following to understand how the calendar will work in production.
The expected candidate dates and times appear on the booking page.
The guest input fields and instructions are easy to understand.
The booking confirmation email arrives.
The booking is added to the connected calendar.
A web meeting URL is issued automatically.
3. 💬 Configure the information to collect and the notifications to send
Collecting the information you need at booking and preparing post-booking guidance makes follow-up easier.
🧾 Customize questions for guests
During the trial, you can also try the guest question settings.
Ask guests for information such as their company name, phone number, topic for consultation, or items to confirm in advance so you can prepare before the meeting.
To configure guest questions:
On the dashboard, open the creation or editing screen for the calendar.
Open Advanced settings.
Add questions under Guest questions.
Review the settings and save the calendar.
For detailed instructions, see Guest questions.
🔔 Review message settings
Review post-booking guidance and reminder settings to help prevent missed meetings.
Check settings such as:
The booking confirmation notification content
The reminder notification content sent to guests
For detailed instructions, see Reminder emails.
4. 🚀 Test a realistic workflow
After completing the basic settings, test TimeRex in a workflow close to your actual use case.
👥 Invite team members and test with multiple people
If your organization will use TimeRex as a team, invite members during the trial and test scheduling with multiple people.
For example, you can test:
Scheduling a meeting attended by multiple people
Scheduling based on the availability of multiple people
Creating a separate calendar for each person in charge
For detailed instructions, see Invite team members.
🌐 Place the URL in a realistic customer journey
Place the calendar URL where you plan to use it.
For example, test it in:
An email body
An email signature
A chat message
A website
A landing page
An automated reply sent after an inquiry
Testing a realistic customer journey helps you confirm in advance that guests can book smoothly.
5. ✨ Try additional features as needed
During the trial, you can try Premium Plan features.
Try the following features based on your needs.
🔀 Routing
Routing automatically directs a guest to the appropriate calendar from multiple calendars based on the guest’s answers.
For example, use Routing to show different calendars based on the type of inquiry or the requested service.
For detailed instructions, see Routing.
📊 Google Sheets integration and CSV export
To manage booking information internally, try Google Sheets integration and CSV export.
Reviewing bookings in a list or copying the data to an internal management sheet makes post-booking follow-up and reporting easier.
For detailed instructions, see:
