This article introduces the main features of TimeRex and explains how to get started.
What is TimeRex?
TimeRex is a scheduling automation tool that connects with Google Calendar or Outlook Calendar.
It automates scheduling tasks such as listing candidate dates, adding confirmed bookings to calendars, and creating web meeting URLs.
Because TimeRex connects to Google Calendar or Outlook Calendar in real time, you do not need to worry about double bookings.
Scheduling is completed in only two steps.
Share the URL of a calendar you created in advance.
The guest selects a preferred date and time from the automatically generated candidate dates.
Four key features of TimeRex
TimeRex offers the following features.
The Free Plan supports essential scheduling.
It supports a wide range of scheduling patterns, including one-on-one meetings, meetings between multiple hosts and one guest, and scheduling among three or more parties.
It automatically issues web meeting URLs.
It integrates with many external tools, including chat tools, spreadsheets, Google Analytics, and online business card exchange tools.
For more information, see TimeRex features.
Review the plans
Review the available plans on the Plans & Pricing page.
If you are unsure which plan to choose, you can register for the Free Plan first, then upgrade or start a Premium Plan trial later.
Prepare to use TimeRex
Before using TimeRex, you need to register an account and complete the initial setup.
The process takes about 20 seconds, so you can start right away.
1. Register an account
On the Plans & Pricing page, click one of the following buttons.

Sign Up Now under the Basic Plan
Try for Free under the Premium Plan
Select Google or Microsoft and log in.
If you normally use Google Calendar, click Sign up with Google and log in.
If you normally use Outlook Calendar, click Sign up with Microsoft and log in.
When prompted to grant calendar access, select all requested permissions and continue. Account registration is then complete, and the initial setup begins.
2. Complete the initial setup
Set the display name shown to guests and select the calendar you normally use, then click Complete initial setup.
If you selected the Premium Plan, review the trial period and notes on the trial confirmation screen. Click Start the trial to begin immediately.

If you selected the Basic Plan, continue with the upgrade process.
For details, see Change your plan.
After the initial setup is complete, you are taken to the TimeRex dashboard.
If you selected the Basic Plan or decided not to start the Premium Plan trial, click Home in the header to go to the dashboard manually.
The dashboard displays a team containing only your account, which was created automatically.
Invite other members to the team as needed.
For details, see Invite members to a team.
Inviting team members allows you to schedule based on multiple members’ availability, such as offering only times when both you and another member are free.
How to use TimeRex
After registering your account and completing the initial setup, create a scheduling page URL.
Share the URL with your guest. Scheduling is completed when the guest selects a date and time.
1. Create a scheduling page (calendar)
Create a calendar URL and configure settings such as the booking duration and web meeting tool.
On the dashboard, click Create calendar to open the new calendar screen.
Configure the following Basic settings.
Calendar name
This name is shown to the guest.
After scheduling is completed, it becomes part of the event name added to the connected calendar.
Booking duration
This is the length of the booking.
Select 30, 45, 60, or 90 minutes, or enter a custom duration from 10 to 480 minutes in one-minute increments.
Reserved time before and after
This is time reserved before and after the booking for travel or preparation.
Select 0, 30, 45, or 60 minutes, or enter a custom duration of up to 180 minutes in one-minute increments.
Participant settings
Select the members whose connected-calendar availability should be used to generate candidate dates.
Web meeting settings
Select No web meeting, Zoom, Google Meet, or Microsoft Teams.
When a web meeting tool is selected, a web meeting URL is issued automatically after scheduling is completed.
The selected web meeting tool must be connected in advance.
Configure Advanced settings as needed.
You can configure Available hours by day of the week, Booking acceptance period, Message shown at the start of scheduling, Message shown when a booking is completed, and other settings.
For details, see Advanced calendar settings.
Click Create to create the calendar.
You can reuse a calendar, so you do not need to create a new one for every scheduling request.
To reuse the calendar, set Booking acceptance period to Set automatically.
2. Share the scheduling page
Share the calendar URL with the guest.
On the calendar creation completion screen or calendar details page, click Copy URL.
Paste the copied URL into an email or chat message and ask the guest to select a date.
3. The guest selects a preferred date and time
The guest clicks the shared URL to open the scheduling page.
The candidate dates shown are times when the connected calendars are available at that moment.
The guest completes the following steps.
Click a preferred date and time from the displayed candidates.
Enter the required information, then click Complete booking.
After scheduling is completed, the booking details are displayed.
4. The booking is added to calendars
After scheduling is completed, the event is added to each participant’s connected calendar, and a booking completion email is sent.
The guest also receives a booking completion email at the address entered during scheduling.
The booked time no longer appears on the scheduling page, so another person cannot book the same time.
You can send the same scheduling page URL to multiple people at the same time without causing double bookings.
