How to Choose the Right Scheduling Method for Your Needs

If you have just signed up for TimeRex and are unsure which scheduling method to use, start with this page.

TimeRex lets you choose a scheduling method based on your needs.

Calendars, the primary scheduling method, connects with Google Calendar or Outlook Calendar and automatically displays your available times.

Note: Your Google Calendar or Outlook Calendar is already connected when you create your account.

You can also issue a URL that can be used only once, manually select available times, or check multiple participants’ availability before finalizing a date.

This article introduces the main scheduling methods available in TimeRex and explains how to use each one.

Which scheduling method should I use?

  • Automatically display available times and accept bookings on an ongoing basis: Calendars

  • Issue a URL that can be used only once to prevent another booking through the same URL: One-time URL

  • Manually select available times: Instant Scheduling

  • Check multiple participants’ availability before finalizing a date: Group poll

  • Automatically direct guests to the appropriate schedule adjustment calendar based on their answers: Routing

Calendars

Calendars is TimeRex’s primary scheduling method.

It connects with Google Calendar or Outlook Calendar and automatically displays your available times.

A Calendar URL can be used repeatedly, making it suitable for continuously accepting bookings for sales meetings, one-on-one meetings, job interviews, online consultations, and similar appointments.

How to create it

  1. Click + Create calendar.

  2. Configure Booking duration, Participants, Web meeting settings, and other settings.

  3. Share the Calendar URL with the guest.

  4. When the guest selects a date and time, scheduling is complete.

One-time URL

One-time URL lets you issue a Calendar URL that can be used only once.

You can schedule a single booking while retaining your schedule adjustment calendar settings, such as web meeting integration and messages.

After a booking is made through a One-time URL, the URL becomes unavailable.

How to create it

  1. Click One-time URL for the calendar you want to use, then click Copy URL.

  2. Share the URL with the guest.

Note: After a booking is made, the URL expires.

Instant Scheduling

Instant Scheduling lets you manually select available times and present them to the guest.

Calendars automatically displays available times based on your connected calendar.

With Instant Scheduling, you select the date and time options yourself, allowing you to narrow them down to fit your schedule.

How to create it

  1. Click Instant Scheduling.

  2. Configure Booking name, Booking duration, Participants, and other settings.

  3. Select the available times you want to offer the guest.

  4. Share the scheduling page URL with the guest.

Group poll

Group poll lets you finalize a date after checking multiple participants’ availability.

Participants indicate whether they can attend each available time you select.

You then review their responses and finalize the date.

This is useful when scheduling among three or more parties, such as an HR representative, an agent, and a candidate, or a sales representative, a partner, and a customer.

How to create it

  1. Click Group poll.

  2. Configure Booking name, Booking duration, Participants, and other settings.

  3. Select the available times and share the URL with the participants.

  4. Review the participants’ responses and finalize the date.

Routing

Routing automatically directs guests to the most appropriate schedule adjustment calendar based on their answers.

You can prepare questions for guests and automatically direct them to a specific schedule adjustment calendar based on their answers.

You only need to share one URL.

Routing directs each guest to the most appropriate schedule adjustment calendar from multiple schedule adjustment calendars.

How to create it

  1. Click Routing.

  2. Set the questions you want guests to answer.

  3. Configure which schedule adjustment calendar or message to display based on their answers.

  4. Share the Routing URL with the guest.
