Microsoft Teams Integration

With Microsoft Teams Integration, you can automatically issue a Microsoft Teams meeting URL when a booking is completed.

If a Microsoft Teams meeting URL is not issued after you connect Microsoft Teams, see the following article.

What You Need to Do to Automatically Issue a Microsoft Teams Meeting URL

To issue a Microsoft Teams meeting URL when a booking is completed, complete both of the following settings:

  • Settings for each account: Connect each TimeRex account to its Microsoft Teams account.

  • Settings for each calendar: Under Web meeting settings, select Microsoft Teams for each calendar that should issue a Microsoft Teams meeting URL when a booking is completed.

Note: If you complete the account settings after the calendar settings, save the calendar again.

Requirements

  • A Microsoft 365 account with a Microsoft Teams license and one of the following plans:

    • Microsoft 365 Business Basic

    • Microsoft 365 Business Standard

    • Microsoft 365 Business Premium

  • A TimeRex account on either a free or paid plan

If your Microsoft 365 account supports Microsoft Teams Integration, the Teams meeting option appears when you create an event in Outlook.

Connect a Microsoft Teams Account to TimeRex (1. Settings for Each Account)

  1. Log in to TimeRex with the Google or Microsoft account you normally use.

  2. Select Connect.

Use Microsoft Teams Integration (2. Settings for Each Calendar)

Open the create or edit page for a calendar. Under Web meeting & meeting room settings, select Microsoft Teams in Web meeting settings.

When Microsoft Teams is selected under Web meeting settings, a Microsoft Teams meeting URL is automatically issued when a booking is completed.

In Calendars on the TimeRex dashboard, calendars configured to issue a Microsoft Teams meeting URL show Microsoft Teams on their calendar card, so you can identify them at a glance.

The issued Microsoft Teams meeting URL is shown to the guest when the booking is completed.

It is also added to your Google Calendar or Microsoft 365 calendar.

If the guest is logged in to TimeRex, the meeting URL is also added to the guest's Google Calendar or Microsoft 365 calendar.

The information entered during booking and the Microsoft Teams meeting URL are also sent by email to you and the guest.

Disconnect a Microsoft Teams Account from TimeRex

To disconnect a Microsoft Teams account from TimeRex, open the Microsoft Teams Integration page and select Disconnect.

Note: Even after you disconnect Microsoft Teams, you can continue to view previously issued Microsoft Teams meeting URLs in TimeRex.

FAQ

Can I connect the same Microsoft Teams account to multiple TimeRex accounts?

No. You cannot connect the same Microsoft Teams account to multiple TimeRex accounts.

I see the error “Unable to connect. This Microsoft Teams account is already connected to another TimeRex account.”

This error appears when you try to connect the same Microsoft Teams account to multiple TimeRex accounts.

Try connecting a different Microsoft Teams account.

What happens if I delete my TimeRex account?

When you delete your TimeRex account, the connection to your Microsoft Teams account is automatically disconnected.

Microsoft Teams meeting information stored in your TimeRex account is also deleted.

What happens to a Microsoft Teams meeting if a booking is canceled in TimeRex?

If the guest cancels a booking, the Microsoft Teams meeting associated with that booking is deleted.

What happens to previously issued meeting URLs if I change my Microsoft Teams account?

Previously issued meeting URLs remain available and can still be viewed in TimeRex.

After changing your Microsoft Teams account, open the edit page for each calendar, confirm that Microsoft Teams is selected under Web meeting settings, and select Save.

I cannot connect my Microsoft Teams account to my TimeRex account.

I want to add a co-organizer to a Microsoft Teams meeting.

You need to do this in Microsoft Teams.

Open the Teams calendar in the Microsoft Teams app or a web browser. Add the users you want to make co-organizers as required attendees, and then select them as co-organizers.
