Cancel a booking

For appointments that have been adjustment calendar on the TimeRex scheduling calendar, both the host and the guest can cancel the schedule adjustment.

The cancellation procedure is as follows:

Guest wants to cancel a reservation

  1. Open the booking confirmation email.

  2. Click "Change an event" in the email.

  3. Click "Canceling an event" on the "Rescheduling or
    Canceling an event" screen.

  4. On the "Canceling a confirmed event" screen, confirm the appointment to be canceled and click "Cancel an event".
    If you want to let them know why you are cancelling, you can fill in the "comment" section.

  5. When the "Canceling a confirmed event" screen appears, the cancellation process is complete.

Host wants to cancel a reservation

There are three ways to cancel an appointment from a host.

  1. Cancel from the booking completion email

  2. Cancel from the linked calendar

  3. Cancel from the dashboard

Cancel from the booking completion email

  1. Open the booking confirmation email.

  2. Click "Cancel an event" in the email.

  3. On the "Cancellation of confirmed events" screen, confirm the appointment to be canceled and click "Canceling an event".

  4. If you want to let them know why you are cancelling, you can fill in the "comment" section.
    If you want to ask a guest to rebook, if you include the URL to the schedule adjustment calendar, it will facilitate subsequent schedule adjustments.

  5. When the "Canceling a confirmed event" screen appears, the cancellation process is complete.

Cancel from the linked calendar

  1. From the linked calendar, click on the appropriate appointment, and then click on the URL for cancellation.

  2. On the "Cancellation of confirmed events" screen, confirm the appointment to be canceled and click "Canceling an event".

Cancel from the dashboard

  1. From the dashboard, click on "Bookings" in the Calendars, then click on the appropriate appointment.

  2. Confirm the appointment to be canceled and click "Cancel".

Appointment cancellation deadline

You can set a deadline by which guests can cancel or reschedule their appointments.

By default, you can cancel until the end of the appointment. (If the appointment is scheduled from 10:00 to 11:00, it can be canceled until 10:59)

The process for setting cancellation/reschedule deadline is as follows:

  1. In the "Appointment cancellation/rescheduling deadline setting" item, check the "Set an appointment cancellation/reschedule deadline".

  2. Set any time (the maximum time limit for a deadline that can be set in the custom settings is 720 hours.)

Cancellation deadline settings are available for Basic Plan and above.
