Create a Routing

Creating a routing lets you display different calendars based on each guest’s answers to questions, or show a message without asking the guest to schedule.

Routing is available on the Premium plan.

Open the Create Routing screen

  1. If you want to create the routing in a folder, select the folder first.

    • You cannot move a routing to another folder after creating it.

  2. On the Calendars tab, select the Routing tab, then click Create Routing.

  3. The Create Routing screen opens.

Basic Settings

Configure the following three items. Routing Name is required.

  • Routing Name

  • Private Routing Name

  • Message at the start of routing

Routing Question Settings

Configure the questions used to determine which action guests should take, as well as questions you want guests to answer even if they do not proceed to scheduling.

In Logic Settings, you use questions and answers to specify which calendar to show, or whether to show a message without asking the guest to schedule.

Default question items

  • As with Guest questions for calendars, the four default items in Routing Question Settings are Company name (optional), Name (required), Email address (required), and Comment (optional).

  • As with Guest questions, you cannot make Name or Email address optional.

Add question items

  • The available answer formats are Text, Text (multi-line), Checkbox (multiple answers), Radio button, and Select menu.

  • The supported formats are generally the same as for Guest questions, but File upload, Number, and Date are not supported.

Carry over answers

  • If the same question appears in both Routing Question Settings and Guest questions, the guest’s answer is carried over, so the guest does not have to answer the same question twice.

  • Questions are treated as the same when the Question title and all choices, if any, match exactly.

  • Answers are still carried over even if the optional or required setting or Supplementary Information differs.

Notification & publication settings

Configure the following two items.

  • Routing Acceptance Status (On / Off)

  • Notification email addresses

A completion notification email is sent to the guest automatically without any additional settings.

A completion notification email is not sent to the host by default. To receive it, configure Notification email addresses.

Click Proceed to Logic Settings.

Logic Settings

Use question items to configure conditions.

Action when none of the logic applies is required.

Add logic

Click Add Logic to add new logic.

  • You can configure multiple conditions in one logic block.

    • If you configure multiple conditions in one logic block, the conditions are met only when all of them match.

  • You can use the same question in multiple conditions within one logic block.

  • TimeRex does not check for contradictory conditions within a logic block.

Conditions

Select a question item from the dropdown menu, then configure the condition as follows.

When the question format is Text or Text (multi-line)

  • Available condition types:

    • Equals

    • Not equals

    • Contains

    • Not contains

  • How to set the value:

    • Enter text. Values are case-sensitive.

When the question format is Checkbox (multiple answers), Radio button, or Select menu

  • Available condition types:

    • Equals any of the following

    • Not equals any of the following

  • How to set the value:

    • Select from the choices for the relevant question item.

    • If you select multiple choices, the condition is met when any one of them matches.

Action when the conditions are met

For Action, select either Show calendar or Show message.

When you select Show calendar

  • Search by Calendar name or Private calendar name, then select a calendar.

  • If you are creating a routing in a folder, you can select only calendars in that folder.

When you select Show message

  • Configure Message Memo and Message to Display.

  • Message Memo is not shown to guests.

If you configure multiple logic blocks, TimeRex evaluates them from top to bottom.

At least one logic block must use Show calendar as its action.

Finally, click Create Routing to finish creating the routing.

Click Copy URL and share the URL with guests.

FAQ

Can I cancel or reschedule a booking made through Routing?

Yes.

Regardless of whether Routing was used, a booking made through Calendars can be canceled or rescheduled according to the calendar settings.

Can I use Routing on a smartphone?

You can create a routing only on a computer.

Guests can answer questions and make bookings on a smartphone.

Can I move an existing routing to another folder?

Moving an existing routing to another folder is not supported.

Does moving a calendar to another folder affect Routing?

No.

Even if moving a calendar causes the routing and calendar to be stored in different folders, the calendar remains selected in the routing.

What happens if I delete a calendar used by Routing?

If a guest meets the condition for a deleted calendar, the following error message is displayed: 404 Not Found The target calendar was not found.

Edit the routing and either select another calendar for the action or delete the condition that used the deleted calendar.

Can I delete a calendar selected in Routing Logic Settings?

You cannot delete a calendar while it is selected in Routing Logic Settings.

To delete the calendar, first remove it from Logic Settings, then delete the calendar.

Is there a limit to the number of routings I can create?

No.

You can create an unlimited number of routings.

Can I duplicate or copy an existing routing?

Duplicating or copying a routing is not supported.

Are Routing answers synced through Google Sheets integration?

Routing does not support Google Sheets integration, so guest answers submitted through Routing cannot be synced to a spreadsheet.

If Google Sheets integration is configured for an individual calendar, the scheduling results are added to the spreadsheet regardless of whether Routing was used.

However, guests’ Routing answers are not included in the spreadsheet.

Can I export Routing answers to CSV?

Routing does not support CSV export, so you cannot export a list of guest answers submitted through Routing.

If you export bookings to CSV, the scheduling results are included regardless of whether Routing was used.

However, guests’ Routing answers are not included in the CSV file.

Are completed Routing answers sent through chat tool integrations?

Routing does not support chat tool integrations, including Slack integration, Chatwork integration, and Microsoft Teams Chat integration. These integrations therefore do not send notifications when a guest completes their Routing answers.

If a chat tool integration is configured for an individual calendar, booking completion and other notifications are sent to the chat regardless of whether Routing was used.

However, guests’ Routing answers are not included in the chat notification.

Can I embed Routing as a widget on a website?

Routing does not support widgets or website embedding.

What happens if I downgrade from the Premium plan?

When you downgrade, existing routings and the guest answers submitted through them are deleted automatically.

Scheduling results remain because they are linked to the individual calendars.

Can I use Routing in Personal Space?

Routing is not available in Personal Space.

Please use Routing in Team Space.
