How to Change Passcode and Waiting Room Settings for Zoom Meetings Issued by TimeRex

When you use Zoom Integration and select Zoom under Web meeting settings for a calendar, a Zoom meeting URL is automatically issued when a booking is completed.

Whether Zoom meetings automatically issued through Zoom Integration use a passcode or waiting room is based on your Zoom settings.

For automatically issued Zoom meetings, settings are applied in the following order of priority based on Zoom specifications: Zoom administrator settings, then personal settings.

To change the behavior, ask your Zoom administrator to check the settings described below.

Zoom Specifications and Settings

Zoom appears to require either Meeting Passcode, Waiting Room, or both to be enabled for each meeting.

Zoom security settings, including passcodes and waiting rooms, can be configured in several patterns.

Zoom calls these patterns scenarios and describes the behavior for each scenario on the following Zoom Developers page.

For all Zoom meetings, whether or not they are issued by TimeRex, the conditions under which Meeting Passcode and Waiting Room are enabled or disabled vary depending on the selected scenario.

Configure Zoom so that it uses the behavior, or scenario, you want.

Common Configuration

For automatically issued Zoom meetings, settings are applied in the following order of priority based on Zoom specifications: Zoom administrator settings, then personal settings.

As a result, whether a passcode or waiting room is used is often determined by the settings locked with the lock icon in Zoom administrator settings.

Notes:

  • Zoom administrator settings are different from Zoom personal settings.

  • Zoom administrator settings are visible only to Zoom administrators.

Changing Zoom administrator settings has the following effects:

  • The change applies to all users in the Zoom tenant.

  • The change also applies to Zoom meetings issued outside TimeRex.

After understanding these effects, change the Zoom administrator settings if necessary.

To change the settings, a Zoom administrator must open Account Settings in Zoom administrator settings.

Change Meeting Passcode and Waiting Room, and then select the lock icon for each setting to lock it.

For example, to issue a passcode without using a waiting room:

  • Set Meeting Passcode to Enabled and lock the setting.

  • Set Waiting Room to Disabled and lock the setting.

When you select the lock icon and its color changes from white to blue, the setting is locked.

FAQ

I enabled Meeting Passcode, but no passcode is issued when a booking is completed.

Check the following:

  • Did a Zoom administrator change the administrator settings, rather than a general Zoom user?

  • After enabling Meeting Passcode, did you select the lock icon to lock the setting?

  • If the issue persists, check the Zoom scenarios.

A passcode is issued, but it does not appear on the booking completion page.

For security reasons, Zoom passcodes are not shown on the booking completion page.

To check the Zoom passcode, see the booking completion email or the event details added to the connected calendar when the booking was completed.
