Hide the Online Meeting URL from Guests
You can automatically generate a web meeting URL when a booking is completed while preventing the URL from being displayed to guests.
Use this setting when you do not want TimeRex to automatically share the generated web meeting URL with guests. The host can add instructions or other information and send the URL separately by email, chat, LINE, or another method.
What happens when the web meeting URL is hidden?
The web meeting URL is still generated when “Hide the online meeting URL from guests” is enabled.
On the following screen and email, guests see “Please wait for further communication from the host” instead of the web meeting URL:
Booking completion screen
Booking completion email sent to the guest
The host can still view the generated web meeting URL in the following places:
The booking shown on the TimeRex Home screen
The event added to the host’s connected calendar
The notification email sent to the host
Note: This applies only when the host is configured to receive notification emails.
To share the web meeting URL with the guest, the host must check the URL, add any necessary information, and send it separately by email, chat, LINE, or another method.
How to configure this setting
Open the calendar creation or edit page.
Find “Web meeting & meeting room settings.”
Under “Web meeting settings,” select one of the following:
Zoom
Google Meet
Microsoft Teams
Select “Hide the online meeting URL from guests.”
Click “Create Calendar” or save the calendar.
“Hide the online meeting URL from guests” appears after you select a web meeting tool under “Web meeting settings.”
Difference from “Not used”
Selecting “Not used” under “Web meeting settings” works differently from selecting a web meeting tool and hiding its URL.
Setting | Web meeting URL generation | Guest’s completion screen | Guest’s completion email | Available to the host |
Select “Not used” | Not generated | No web meeting URL is displayed | No web meeting URL is displayed | Not available |
Select a web meeting tool and enable “Hide the online meeting URL from guests” | Generated | “Please wait for further communication from the host” is displayed, but the URL is not displayed | “Please wait for further communication from the host” is displayed, but the URL is not displayed | Available |
Select a web meeting tool and leave “Hide the online meeting URL from guests” disabled | Generated | The URL is displayed | The URL is displayed | Available |
Note: The information about the guest’s completion email applies only when sending booking completion emails to guests is enabled.
Select “Not used” if you do not want TimeRex to generate a web meeting URL.
If you want TimeRex to generate a web meeting URL but prefer to add information and send it to the guest separately, select a web meeting tool and enable “Hide the online meeting URL from guests.”
