Calendar Name and Private Calendar Name

A calendar can have both a Calendar name and a Private calendar name.

Use a Private calendar name when you want an internal name that is easier for team members to understand and different from the name shown to guests.

Private calendar names are available on all plans.

Difference between Calendar name and Private calendar name

  • Calendar name: Shown to guests. Use it to describe the purpose of the booking.

  • Private calendar name: Not shown to guests. Use it to help internal team members identify the purpose of the calendar or its traffic source.

When you set a Private calendar name, guests continue to see the Calendar name while team members see the separate internal name.

Set the Calendar name

Enter a name that helps guests understand the purpose of the booking.

Examples:

  • Meeting

  • Online consultation

  • Recruitment interview

Because the Calendar name is shown to guests, do not include information that should remain internal, such as internal management numbers, campaign names, or traffic sources.

Set a Private calendar name

Use a name that helps internal team members identify the purpose of the calendar or its traffic source.

For example, you can show the same Calendar name to guests while using a different Private calendar name for each sales campaign or recruitment channel.

Sales example

Show Meeting to guests and use an internal name that identifies the traffic source:

  • Calendar name: Meeting
    Private calendar name: Sales meeting (Campaign A)

  • Calendar name: Meeting
    Private calendar name: Sales meeting (Campaign B)

Recruitment example

Show Engineering interview to candidates and use an internal name that identifies the recruitment channel:

  • Calendar name: Engineering interview
    Private calendar name: Engineering recruitment (Channel A)

  • Calendar name: Engineering interview
    Private calendar name: Engineering recruitment (Channel B)

How to configure the names

  1. Log in to TimeRex.

  2. Open the calendar creation or edit page.

  3. Enter the Calendar name.

  4. Select Set a private calendar name.

  5. Enter the Private calendar name.

  6. Complete the other required fields, then create or update the calendar.

Important notes

Setting a Private calendar name does not make the Calendar name private.

The Calendar name is still shown to guests, so use a name that is easy for them to understand.

The Private calendar name is intended for managing calendars with internal information that should not be shown to guests.

Display name is a separate setting for the host name shown on the scheduling page and elsewhere. It is different from Calendar name and Private calendar name. See Display Name.
