Calendar and All-Day Event Settings

TimeRex connects to Google Calendar, including Google Workspace, or Outlook Calendar. It displays scheduling options based on calendar availability and automatically adds an event when a booking is completed.

Use the following methods to connect Google Calendar or Outlook Calendar.

Connect a Calendar When Registering Your Account

When you register a TimeRex account, you connect Google Calendar, including Google Workspace, or Outlook Calendar.

During registration, select the calendar to connect under the calendar connection setting.

You can change this setting later.

Review or Change Connected Calendars

You can select up to two calendars to check for availability.

You can select one calendar from the default connected account as the calendar where bookings are saved.

Calendars in an additional connected account can also be selected as calendars checked for availability.

Steps

  1. Log in to TimeRex and open the dashboard.

  2. Select your user name in the upper-right corner, and then select Account Settings.

  3. Under Account Settings in the left navigation, select Calendar.

The email address of each connected calendar account is displayed.

The default account, or primary account, cannot be changed.

To check the availability of another account, use the + button to add one connected account as a sub-account.

Add a Connected Account to Check for Availability

In Connected Account, select the + button to add one account whose calendars can be checked for availability.

You can delete an additional connected account, but you cannot delete the default connected account.

Steps

  1. In Connected Account, select the + button.

  2. Select Sign in with Google or Sign in with Microsoft, and sign in to the account you want to add.

Calendar Settings

Which calendars should be checked for availability? (up to 2)

From the calendars in the connected calendar accounts, select the calendars that TimeRex should check for availability when creating scheduling options for a calendar.

You can select up to two calendars.

Which calendar should bookings be saved to?

From the calendars in the connected calendar accounts, select one calendar where events should be added when a booking is completed.

Only calendars in the default account, or primary account, appear as options and can be selected.

Steps

  1. Change the settings under Calendar Settings:

    • Which calendars should be checked for availability?: Calendars checked for availability when TimeRex creates scheduling options

    • Which calendar should bookings be saved to?: Calendar where an event is added when a booking is completed

  2. Select Save changes.

Using different calendars for Which calendars should be checked for availability? and Which calendar should bookings be saved to? may cause double bookings.

We therefore recommend selecting the same calendar for both settings.

When a booking is completed with the same calendar selected for both settings, the event is added to the calendar checked for availability. That date and time will therefore no longer be displayed as an available scheduling option.

All-day events

Treat busy all-day events as free

Depending on your environment, all-day events added to Google Calendar or Outlook Calendar may automatically be marked as busy.

This setting is provided to address that behavior.

We generally recommend leaving this checkbox off.

In Google Calendar, all-day events are marked as free by default.

If you do not want a day containing an all-day event to appear as an available scheduling option, change that event's status to busy in Google Calendar.
