Members who have joined the team will appear in the "Participating member settings" section of the Create/Edit Schedule Adjustment Calendar page.
How to select a member
Select Member
Click (select) or drag & drop a member to add it to the participating members and it will appear in green.
Enter text in the search box and only matching members will be displayed. You can search by team member account name.
The members who are green are the members who are candidates to attend the relevant meeting.
The maximum number of members that can be selected is 12, regardless of the participation method.
* In the case of the Free Plan, the maximum number of members that can be selected is 2.
Calendar Slot Availability
Select "All participants must be available," "One or more participants must be available," or "One participant from each of the two groups."
If there is more than one person in charge of the meeting, you can offer not only dates when everyone is available, but also dates when one person can attend, or when at least one person from each of the two groups is available.
The "One participant from each of the two groups" option is available for Basic Plan or higher subscriptions.
Method of determining participating members and priorities
If more than one person is selected in a group under "One or more participants must be available" or "One participant from each of the two groups," it is possible to set the method of determining the participating members and their priority.
In the case of "Random", a participating member will be selected at random from among the members whose schedules are available on the linked calendar.
In the case of "Priority order," a participating member will be selected from among the members whose schedules are available on the linked calendars based on the priority you set.
The "One participant from each of the two groups" participation method and the "Priority order" decision method are available for Basic Plan or higher subscriptions.
Schedule Adjustment Method
"All participants must be available": Schedule adjustment at a time when all potential members are available
When the meeting partner selects a date from the schedule adjustment calendar and the schedule adjustment is completed, an email will be sent to all the members selected from the member selection.
In addition, appointments are automatically entered into the Google Calendar or Microsoft 365 Calendar that each member is linked to.
"One or more participants must be available": Schedule adjustment for any one of the candidate members at any available time
When the meeting partner selects a date from the schedule adjustment calendar and the schedule adjustment is completed, an email will be sent to only one member who has confirmed their participation.
In addition, appointments are automatically entered into the Google Calendar or Microsoft 365 Calendar of the member who has been confirmed to participate.
"One participant from each of the two groups": Divide the potential members into two groups, and schedule adjustment when at least one person from each group is available
When the meeting partner selects a date from the schedule adjustment calendar and the schedule adjustment is completed, an email will be sent only to the two members (one from each group) who have confirmed their participation.
In addition, appointments are automatically entered into the Google Calendar or Microsoft 365 Calendar of members who have been confirmed to participate.
Indication of participation method
Once you have completed the booking, the participants and their participation method will be displayed on the scheduling calendar on your dashboard.
