Folders

Create folders to organize calendars and instant scheduling, manage folder access, and change folder settings.

You can create folders in a space to manage calendars and Instant Scheduling.

Folder names are not shown to the people you schedule with.

Folders are available to all registered TimeRex users.

View folders

After creating folders, click a folder name to view the calendars and Instant Scheduling in that folder.

On Home in the Dashboard, you can view calendars and Instant Scheduling that are not associated with a folder, as well as those in folders you have permission to access.

Create a folder

Any user in the space can create a folder, regardless of their team role.

  1. Switch to the relevant space.

  2. In the left sidebar, click Create Folder next to Folders.

  3. Enter a Folder Name.

  4. If necessary, change the Folder sharing settings.

    • Select All Members or Limit Members.

    • If you select Limit Members, use Member settings to click members or drag and drop them into the selected members area. Selected members are shown in green.

    • Enter text in Search member to show only matching members. You can search by a team member's account name.

    • The members shown in green can access the folder. The difference between All Members and Limit Members is described below.

  5. Click Create Folder.

Folder sharing settings

You can select either All Members or Limit Members.

If you select All Members, every team member can access the folder.

If you select Limit Members, only the selected members can access the folder.

Members with access can do the following for the folder:

  • Change the Folder Name

  • Change the Folder sharing settings

  • Delete the folder

Members with access can do the following for calendars in the folder:

  • Create a calendar in the folder

  • View and edit calendars

  • Be selected as a participant in a calendar

  • View Bookings confirmed through calendars

  • Export confirmed Bookings as a CSV file (Premium plan only)

  • Create Routing in the folder (Premium plan only)

  • View and edit Routing (Premium plan only)

  • View guest responses in Routing (Premium plan only)

Members with access can do the following for Instant Scheduling in the folder:

  • Create Instant Scheduling in the folder

  • View and edit Instant Scheduling

  • Be selected as a participant in Instant Scheduling

  • View Bookings confirmed through Instant Scheduling

Notes

When a member is granted access to a folder

  • The member can access all calendars and Instant Scheduling in the folder, including those that were created before access was granted.

When a member's access to a folder is removed

  • The member immediately loses access to the folder.

  • If the member being removed is the only participant in a calendar or Instant Scheduling, that calendar or Instant Scheduling is deleted when the member is removed.

  • If a calendar or Instant Scheduling has two or more participants including the member being removed, that member is automatically removed from the participant settings.

When a folder is deleted

  • Access to the folder is removed immediately.

  • All calendars and Instant Scheduling in the folder are deleted.

When a member is removed from the team

  • The removed member immediately loses access to the folder.

  • For security reasons, if the removed member rejoins the team, access to folders they previously used is not granted automatically.

  • If no members with access remain, the folder itself is automatically deleted.

Reorder folders

Reordering folders is currently available only on a computer.

To change the folder order, drag and drop the folders into the desired order.

Folder settings

Select the relevant folder, click the ellipsis icon (), and select Settings to open the folder settings.

Delete a folder

  1. Select the folder you want to delete.

  2. Click the ellipsis icon () to the right of the folder.

  3. Click Delete.

  4. Review the notes, then click Delete.

Deleting a folder also deletes all calendars and Instant Scheduling in that folder.

To keep a calendar, move it to another folder before deleting the folder.

Instant Scheduling cannot be moved to another folder. You must recreate it in the destination folder.
