Notification Email Addresses

You can set email addresses to receive notifications for each calendar.

For example, you can add a shared team email address or the email address of a person responsible for following up after a booking.

An email address added under “Notification email addresses” receives notifications but is not added to the event as a participant.

This feature is available on the Basic Plan and above.

Select Notifications to Receive

You can select which notifications each email address receives.

Notifications to receive

Notification details

Booking completed

Notifications about completed, canceled, and rescheduled bookings

Host contact

Notifications sent when a guest uses “Notify the host” to report that none of the available times work for them

To receive both types of notifications, select both “Booking completed” and “Host contact.”

At least one option must be selected under “Notifications to receive” for each notification email address.

Set Notification Email Addresses

  1. Open the calendar creation or edit page

  2. Open “Advanced settings”

  3. Go to “Host email & privacy settings”

  4. Enter the email address under “Notification email addresses”

  5. Under “Notifications to receive,” select one or both of the following:

    • “Booking completed”

    • “Host contact”

  6. Under “Language,” select the language of the notification email

  7. To add another notification email address, select “Add”

  8. Create or update the calendar

You can add up to five notification email addresses to each calendar.

For each notification email address, you can select Japanese or English as the notification email language.

Use Different Email Addresses for Different Notifications

You can send “Booking completed” and “Host contact” notifications to different email addresses.

For example, you can configure the notifications as follows:

  • Send “Booking completed” notifications to a shared team email address

  • Send “Host contact” notifications only to the person responsible for deciding whether the guest’s request can be accommodated

  • Send both types of notifications to a person responsible for handling the booking and communicating with the guest

When Using “Notify the host”

When “Notify the host” is enabled for a calendar, at least one notification email address must have “Host contact” selected.

If no notification email address is set to receive host contact notifications, the following message appears:

No notification email address is set to receive host contact.
Add a recipient and check “Host contact” under “Notifications to receive” for at least one address.

When a guest sends a message using “Notify the host,” the notification is sent to each notification email address with “Host contact” selected.

This Setting Is Separate from Emails Sent to Guests

“Notification email addresses” controls the email addresses that receive host-side notifications.

It does not control the booking completion email sent to the guest.

To control the booking completion email sent to guests, open “Message shown at completion and in the booking completion email” under “Display & message settings,” and use “Send the email to the guest about the completed booking.”
