Members who belong to the team appear under Participant settings on the calendar creation and edit page.
Admin Assistants and Assistants cannot be selected as participants.
Select members
Click a member or drag and drop them to add them as a participant. Selected members are shown in green.
Enter text in Search members to show only matching members. You can search by the team member’s account name.
Members shown in green are candidates to attend the booking.
You can select up to 12 members regardless of the Participation type.
On the Free Plan, you can select up to two members.
Participation type
Select one of the following:
All must be available
At least one must be available
One per group
When multiple people may be responsible for a meeting, you can offer not only times when everyone is available but also times when at least one person is available or when at least one person in each of two groups is available.
One per group is available on the Basic Plan and above.
You cannot select the same member in both groups when using One per group.
How to assign participants
When At least one must be available is selected, or when two or more members are selected in a group under One per group, you can configure how participants are assigned.
Evenly (assignment-count priority) and By priority are available on the Basic Plan and above.
Evenly (available-time priority)
Among the participants who are available at the date and time selected by the guest, the booking is assigned to the participant with the fewest bookings for that calendar.

Evenly (assignment-count priority)
Only available times for the participant with the fewest assigned bookings on that calendar are shown to the guest. When the guest completes a booking, that participant is assigned.
This option is available only when At least one must be available is selected. It cannot be used with One per group.

By priority
Among members who are available on their connected calendars, TimeRex assigns a participant according to the configured priority order.
How scheduling works for each Participation type
All must be available
TimeRex offers only times when every selected participant is available.
When the guest selects a time and completes the booking, every selected participant receives an email, and the event is automatically added to each participant’s connected Google Calendar or Outlook Calendar.
At least one must be available
TimeRex offers times when at least one selected participant is available.
When the guest completes the booking, only the assigned participant receives an email, and the event is automatically added to that participant’s Google Calendar or Outlook Calendar.
One per group
Divide the candidate members into two groups. TimeRex offers times when at least one member in each group is available.
When the guest completes the booking, only the two assigned participants, one from each group, receive an email, and the event is automatically added to their Google Calendar or Outlook Calendar.
